Event logistics

Event logistics is the operational work that gets a company’s people, booth, and materials to an event and ready to sell, covering registration, travel, shipping, booth kits, staffing schedules, and deadlines.

Logistics is the part of in-person GTM with hard deadlines. Your booth ships on a date, so in your busiest weeks logistics takes your team’s hours first. Planning, capture, and analysis get whatever remains.

What does event logistics include?

  • Registration and badge deadlines.
  • Travel and hotels for everyone on the roster.
  • Shipping, booth kits, and swag, out and back, and the drayage that moves them to your booth.
  • Show services you book with an advance order, and the installation and dismantle labor that builds your booth.
  • Booth staffing: who works which shift, in which role.
  • Vendor and organizer contacts, and sponsorship deliverables.

What does it cost the people who run it?

Operators report 50 to 60 events a year per manager as the point where quality slips. Every event brings its own logistics, whatever its size. At the 50-event ceiling, your senior operators spend their judgment on packing and shipping.

“I could be using my brain for so much better stuff than this.”

Where do you find it in FieldXM?

In FieldXM’s event logistics view, you paste an event’s website and FieldXM pulls in its name, dates, venue, and basics. Then you add objectives, the roster, booth shifts, travel, and shipping.

Each event shows you a single readiness signal, On track or Needs attention, which FieldXM rolls up from milestones that include a staffed booth.
