Approval gate

An approval gate is a rule in FieldXM that sets how much autonomy an action that changes records gets, from always ask first to act autonomously; the team chooses the level, and FieldXM logs it.

You decide where a person signs off and where FieldXM acts on its own. Each kind of action carries its own risk: you can discard a drafted note, and you can’t take back an email to a prospect.

What are the levels?

LevelWhat happens
Always ask firstFieldXM runs the action only after you approve it
Draft for approvalFieldXM drafts the action, and you approve or dismiss it
Act & notify (undoable)FieldXM runs the action and tells your team, and you can undo it
Act autonomouslyFieldXM runs the action on its own

You set the level for each kind of action in FieldXM’s settings. They sort actions into 2 groups: external writes, which reach your CRM or outreach tools, and actions inside FieldXM.

Where do the gates apply?

  • Actions that change records through Ask FieldXM.
  • Sending in campaigns: your team approves each send.
  • Sequence enrollment in HubSpot or Salesforce: your team approves each enrollment.

The leads your reps capture reach your CRM through CRM write-back: FieldXM writes each one with the conversation attached and fills only blank fields on your contacts and companies. A meeting your rep books at the booth skips the gate entirely and lands in your CRM, tied to the show.

What does the audit log add?

FieldXM records every action in the agent’s Activity log. Your team can check what ran under each rule and adjust your settings with evidence. See how you choose each level on the Ask FieldXM page.
