Event lead capture

Event lead capture is the work of recording each person a team meets at an event as a lead, with who they are, what they said, and the agreed next step, so the lead reaches the CRM ready for follow-up.

Most teams capture the first part well. A badge scan records who stopped by. What the buyer said usually stays in your rep’s head: event and marketing leaders estimate that 65–95% of what buyers tell their reps at the booth never reaches the CRM.

What should a captured lead hold?

  • Who: name, title, company, and contact details.
  • What they said: the problem, the product interest, and the timing, in their words.
  • How hot: your rep’s read of the conversation, as lead heat.
  • Your criteria: answers to the qualification questions your team set for the show.
  • What’s next: the step your rep promised, and who owns it.

How do your reps capture it?

Your reps scan a badge or a business card, record or type what the buyer said, and add a voice note once the buyer walks off. The faster each step runs, the more of the conversation your team keeps, because your reps skip any step that makes a buyer wait.

Where do you find it in FieldXM?

Your reps capture each lead in the FieldXM mobile app: they scan the badge, and the app writes the notes from the conversation and fills in your qualification questions. FieldXM writes the lead to HubSpot or Salesforce with the conversation attached.
