Event conversation capture rate

Event conversation capture rate is the share of substantive booth conversations that land on the correct CRM contact or account within 72 hours, with at least one useful pain point, product interest, or next step.

Use it to put a number on the event capture gap. Every clause in the definition closes a loophole that buyers’ own estimates fall through.

Why is each clause in the definition?

  • Substantive conversations. A swag grab and a real discovery conversation don’t belong in the same denominator, and counting every scan flatters your rate.
  • Within 72 hours. A note your rep adds 3 weeks later, after the follow-up window has passed, does little for the deal.
  • The correct CRM contact or account. If your rep puts the note on a duplicate or the wrong record, the owner who needed it never sees it. Neither does the events leader measuring the show.
  • At least one useful pain point, product interest, or next step. A badge scan proves only that someone stopped by, and 2 words of pleasantry in a notes field don’t count as capture.

How do you measure it?

Record 6 things per event: the numerator, the denominator, the event type, the staffing mix, the capture path (badge, card, manual, or audio), and the audit method. Without them, you can’t compare your rate with another company’s, or even 2 of your own shows.

That’s why FieldXM doesn’t publish a single rate across companies. The estimates buyers give measure different things, and combining rates with different denominators produces a number you can’t defend.

Why does it matter?

It turns a repeated complaint into a number your team can move. The rate varies with who staffs the booth and whether a manager enforces capture. Move it with staffing, with enforcement, and with a capture path that doesn’t ask a rep to type on a phone while a buyer stands in front of them.

Baseline it before your team changes how it captures, so you measure the improvement against a consistent denominator.
